Rules and Regulations on creating an Event
The calendar is only to be used for the reservation and promotion of
events ONLY. At
no time is the calendar to be used for advertising purposes without
a scheduled event. Misuse
of the calendar may result in your ability to use it in the future.
An event request is only to relay
information about that isolated event.
Why accept a request for an event in YOUR venue?
As a venue
licensee, by accepting any event requests to book your venue, you
are opening up your business to a whole new stream of revenue. Not
only does this mean extra rays for your business but also valuable
traffic in your venue. Use this as another opportunity to market
your VWW (club, store, etc) to users who maybe returning because
they enjoyed your venue the last time.
The more event requests you accept, the more you network your
business!
If you have goods and or services or space to rent out for various
activities you wish to advertise within your venue, feel free to do
this DURING THE EVENT ONLY, where the event request is concerned,
please try to limit any and all advertising.
Every event must have a host, someone guests can look to for a
greeting upon arriving and to answer questions about the venue and
the event taking place. If no host is present during your
event, and your venue is continuously vacant, future event requests
will be declined at the discretion of the Events department.
What constitutes an Event?
When sending an event request please make sure the following details
are included, or your request may be declined:

The date

The time

The name of the event

Is there a theme for the event?

Will there be a DJ(s)?

Will there be any games played where rays and or sponsor
giveaways are the prize?

Will there be a costume contest where rays and or sponsor
giveaways are the prize?
All of this information is encouraged to go on a theme appropriate
poster.
By including posters or any images you
certify that you have the right to upload and distribute this
content and it does not violate the Terms of Service.
Event requests featuring images of nudity or suggestive positions
will be declined.
All forms must be completed fully. Forms that are not filled out
completely and accurately will not be considered for approval.
Please check that all spelling and grammar is correct and that all
information is accurate. Requests must be submitted at least 1
week prior to the event taking place.
All applications will be honored on a first come, first served
basis. If you select the venue that you license, your venue will be
automatically approved; however this will not confirm your
place on the calendar. If you request a venue that is licensed
to someone else, an email will be sent to the venue licensee to
approve or reject your application. You will receive an email when
the venue licensee replies to your request.
It is still your responsibility to contact the venue licensee and
inquire about venue availability for the times you wish to host your
event. The venue licensee may or may not charge a fee to host your
event. All privately licensed venues are clearly marked on their
exterior with a sign. All Utherverse public venues are free to use
on a first come first served basis.
There is a ®1 venue application fee for events that do not occur in
YOUR VWW property or Zaby. This fee is non-refundable and does not
guarantee the venue licensee will respond to your inquiry. There is
also a ®2 posting fee to post your event to the calendar as well as
a ®1 fee for changing the following information: date, venue and
time.
Your event will NOT appear in the Calendar if the venue licensee has
not approved your event. Your event will NOT appear in the Calendar
if there are any outstanding fees.
Once the form has been submitted, you can expect a response within
24 to 72 hours. All event requests must be submitted no later than
one week prior to the date of the event. Requests submitted after
this deadline may or may not be honored, depending on the nature of
the event, and space availability.
Once your application has been approved your event will be placed in
the Utherverse Calendar. All events placed in the
Utherverse Events Calendar are deemed official events and therefore
have exclusive rights to the use of that reserved venue during the
set times listed in the calendar.
You acknowledge that we can establish limits concerning use of the
Event Calendar on the Service, including the maximum number of days
that postings will be retained the maximum number and size of
postings, and the frequency with which you may post the same message
to the Event Calendar.
You agree that we have no responsibility or liability for the
deletion or failure to display any posting nor are we liable for any
modification, suspension or discontinuance of the Event Calendar as
a feature of the Service, which we can do with or without notice.
Note about use of all Venues
Please note: The reservation of venues in Utherverse for events
entitles the person or people renting that venue to use the space
for the purpose of their event only. Regardless of the event, all
rules and regulations pertaining to Utherverse must be abided by at
all times. For example, if you choose to hold an event in the
Bordello where all languages are permitted, then you do not have the
right to remove members from that venue during your event for
speaking other languages.
Furthermore, this implies that if your event is in a public venue
you must respect that both your venue and your event are open to the
public. If you would like a private event then it is suggested you
reserve a venue that is privately licensed. For example, if you
choose to have a wedding in the main street of Virtual-Vancouver,
you cannot expect it to be a quiet wedding, nor can you expect to
have everyone booted out of Main Street for your wedding due to the
public nature of the venue.

Canceling your Event:
In the event that you wish to cancel your event, you must inform the
events office in writing of your intent to cancel by sending an
email to:
events@utherverse.com Cancelations must be received at
least 48 full hours before the date of your scheduled event. A
confirmation of cancelation will be sent to you within 24 hours of
receiving it.
If you fail to cancel an event you will be unable to request another
event for a period of no less than 60 days from the time of your
original event.
Special Requests:
All special requests must be emailed to
events@utherverse.com. Please note:
1. Not all special requests can be honored due to a
number of factors; however we will make every effort to accommodate
your request.
2. All special requests must be made at the time of your
submission of the event request application. Failure to do so may
result in your request not being honored.
3. Due to technical issues, some requests may not be
honored despite pre approval.
Server Broadcasts:
Effective April 1st 2010 – the following Procedures for
Server Broadcasts within the Utherverse Network will be implemented.
Server Broadcasts will NO LONGER be made available to any member,
business or VWW with the sole exception of Utherverse sponsored
events. To apply to become an Utherverse Sponsored event, proposals
must be emailed to
events@utherverse.com 3-4 weeks prior to the event.
The majority of approved Server Broadcasts will be honored during
regular business hours, Monday – Friday 10a-6p PST. Weekend server
Broadcasts will take place in extreme circumstances only or during
Utherverse “Special Events”. Server Broadcast announcements will be
limited to 2 per approved Utherverse event per 24 hour period, with
the exception of deemed Utherverse “Special Events”. Due to
technical issues, some requests may not be honored despite pre
approval.
Customizing
your event in the calendar:
Locate your event in the Calendar:
1. Right click and choose ‘Add a Background’ to add an
event image.
2. Right click and choose ‘Add a Trailer’ to add an
event video
a. Enter flash flv or mp4 video URL
b. Or choose a Youtube style embeds.
3. Choose ‘Edit Event’ to modify event details.
4. Choose ‘Delete’ Event to delete your event.
